Japan Embassy Attestation Fees 2026: Apostille for CoE, Work Visas, Students and Spouses
Japan Embassy Attestation is what most Indians search for before a move to Tokyo or Osaka, but the stamp Japanese offices actually rely on comes from India's own foreign ministry. The embassy in Chanakyapuri never sees the certificate.
Direct answer: Japan ratified the Hague Apostille Convention on 28 May 1970 and it has been in force there since 27 July 1970. An Indian certificate for Japan is checked by the state (education department, Home Department or SDM) or by a Chamber of Commerce and then receives the MEA apostille. The Embassy of Japan adds no stamp of its own. Most receiving offices also want a Japanese translation.

Does Japan Embassy Attestation mean a stamp from the Japanese Embassy?
No. Both countries belong to the Apostille Convention, so a Japanese immigration bureau, city hall or university accepts the apostille issued by the Ministry of External Affairs. There is no second legalisation at the Embassy of Japan, hence no embassy fee or queue.
Many Japanese employers file immigration papers with plain copies. Apostille the originals when the employer, school, ward office, bank or Legal Affairs Bureau asks for it in writing.
Visas and permits that need apostilled Indian papers
Almost every long stay begins with a Certificate of Eligibility (CoE). Your sponsor in Japan applies for it at the Immigration Services Agency; you then take it to a Japanese mission in India for the visa. Your Indian papers feed that CoE file.
Engineer / Specialist in Humanities / International Services
The usual status for software developers, engineers and translators. Immigration checks that your degree subject fits the job, so degree and transcript matter; without a degree, long documented experience is needed.
Highly Skilled Professional
Points for education, career, salary, age and Japanese ability. Each point needs proof, so prepare degrees and experience letters early.
Specified Skilled Worker (SSW)
Created in 2019 for sectors short of staff such as nursing care, food service and construction; India signed a cooperation memorandum in 2021. Candidates pass skills and Japanese tests; caregivers also sit a nursing-care Japanese test.
Student
Language schools and universities apply for the CoE and ask for Class 10 and 12 certificates, mark sheets, proof of Japanese study and sponsor finances.
Dependant visa: bringing a spouse and children
Workers can sponsor a spouse and children under the Dependent status, proving the relationship with an apostilled marriage certificate and each child's birth certificate, translated into Japanese. Many Indian IT families in Tokyo, around Nishikasai in Edogawa ward, arrived this way.

Marriage certificate attestation for Japan and other personal papers
These pass a notary and the Home Department (or SDM for Delhi records) before the apostille; a Passport Seva PCC goes straight to MEA.
| Document | Typical Japanese use | Route before MEA |
|---|---|---|
| Marriage certificate | Spouse's Dependent visa | Notary, Home Department or SDM |
| Birth certificate attestation for Japan | Children's visa; ward-office marriage | Notary, Home Department or SDM |
| PCC attestation for Japan | Some employers and schools | Direct to MEA (Passport Seva issue) |
| Experience certificate attestation for Japan | Skilled and points-based statuses | Notary, Home Department |
| Single status affidavit | Marriage registration in Japan | Notary, Home Department or SDM |
| Divorce decree, death certificate, POA | Remarriage, inheritance, property | Notary, Home Department |
Marrying in Japan: the city or ward office
A marriage in Japan is registered by filing a notification at the city or ward office. The foreign partner usually gives a passport, birth certificate and proof of single status, each translated into Japanese. With a Japanese partner, the marriage enters that partner's koseki (family register). Each office keeps its own checklist.
Commercial documents and the Japan apostille for business
Under the India–Japan CEPA (in force since August 2011), Indian chemicals, pharmaceuticals, auto parts and shrimp ship to Japan. Firms setting up a kabushiki kaisha or godo kaisha, or appointing a distributor, typically apostille:
- Certificate of incorporation, MOA, AOA and board resolution
- Company power of attorney and letter of authorisation
- Certificate of Origin, commercial invoice and packing list
- Health certificate for seafood; phytosanitary certificate
- COPP, GMP, free sale certificate and product dossiers
- Distribution agreement, GST certificate, IEC and bank letter
A Chamber of Commerce endorses each paper; MEA then adds the apostille.

Japanese translation after the apostille
Japan has no sworn-translator register. Offices generally accept a translation stating the translator's name. Translate the whole apostilled document, sticker included, and ask whether a translation made in India is acceptable.
Japan Embassy Attestation fees and processing time
Prices include notary, verification, MEA fee and courier in India; nothing is added for the Japanese Embassy.

- Send: originals, a passport copy, and the checklist from your employer, school or ward office
- Spellings: a surname written differently on degree and passport needs a one-and-the-same affidavit before we begin
- Timing: order the police clearance last, as Japanese sponsors prefer a recent one
- Translation order: translate after the apostille, never before
